How do I allow a User to clock in well before their scheduled start and not have that time added to their recorded time?
VeriTime, for the most part, is designed to let Users clock in and out at will, even at times that you may not wish them to interact with the system. For instance, many Users may clock in well ahead of their scheduled start time, sit for awhile, have some coffee, and read the paper. This raises the risk of overpaying workers for being clocked in when they aren’t supposed to work, possibly even cresting overtime as a result. VeriTime typically cannot prevent this behavior, but the system can keep this time from adding to the User’s recorded time for the day while still allowing them to punch in (much) earlier than you desire.
To do this, you must use the “Round to Schedule” option in the Rounding Rules. The Rounding Rules allow you to set rounding behavior separately for each of these 4 areas:
- Rounding rule for clocking in prior to scheduled start time
- Rounding rule for clocking in after scheduled start time
- Rounding rule for clocking out prior to scheduled end time
- Rounding rule for clocking out after scheduled end time
You may have noticed that there is a prerequisite in order for this to work. The user must have a schedule in VeriTime for Rounding Rules to work.
Let’s use an example of some rounding rules and how to create a rounding rule profile that will match.
- If clocking in early, within 45 minutes of the scheduled start time, round to the scheduled start time. Otherwise, round to the nearest quarter.
- If clocking in after the scheduled start time, round to the nearest quarter.
- If clocking out early, within 15 minutes of the scheduled end time, do not round; use actual time.
- If clocking out late, within 15 minutes of the scheduled end time, round to the nearest quarter.
This is what the rules look like when they are set up.
Once you have a Rounding Rule Profile that meets your needs, you can put it into action by assigning it to a relevant Staff Group Profile.
