VeriTime Release Notes – Week of August 18, 2014

During the week of August 18, 2014, we are planning to release some changes to VeriTime functionality including the addition of a new Pay Periods feature. Read on for more information.

Pay Periods

This is a feature we have been working on for a long time and we are excited to finally be releasing it to you. You will now be able to create specific Pay Periods groups in VeriTime and associate them to certain employee groups. To create Pay Periods groups and edit them you will go to the Pay Period option in the Configure menu.

Under this Pay Periods Admin you will be able to create a Pay Period group by clicking the green Create button or edit an existing one by clicking the pencil icon.

When you create a Pay Period group or edit one, you will be taken through a two step process where you will be able to select the effective dates, frequency of the Pay Period, and when timesheets and approvals are due. You will also select which Job Types will be associated to the Pay Period group.

Pay Period Details

Clicking on the name of a Pay Period group on the Admin screen will take you to a Details page where you will be able to view all the details of a particular Pay Period group. A list of the individual Pay Periods will show here as well as a list of the Job Types associated.

Some Things to Note About Pay Periods

In most cases you will not need to do anything in VeriTime to initially set up Pay Periods. Pay Periods will have already been backfilled for you based on your district’s current Time Period Recurrence setting. You may want to look at the way your Pay Periods have been set up to verify everything looks right though. If you have concerns or have a more complex setup than most, feel free to contact a Client Services representative with any questions.

  • Pay Periods were retroactively created for districts based on their Go Live Date.
  • June 2013 was used for districts that did not have a Go Live Date.
  • Future Pay Periods were created for every district one year into the future.

Date Selection

The Timesheet Review, Work Summary, and Work Details pages will be updated to account for the addition of Pay Periods. The traditional date range fields will be replaced with two drop-down selectors. The first drop-down will provide a list of active and inactive Pay Period groups. The second drop-down selector will provide Previous, Current, and Next Pay Period options. A custom date range option will also be available.

Changes to the Timesheet View

With the addition of Pay Periods to VeriTime, some changes will be made to the Timesheet view as well. Just as mentioned above for other areas of VeriTime, the date selection for the Timesheet will be updated to include the Pay Periods.

The days in the timesheet will no longer be represented by tabs on the left side. Days will now be displayed in expandable and collapsible rows. Individual days will be able to be expanded and collapsed by clicking the arrow at the end of the row. By default, when you first visit the timesheet, all days will be collapsed except the requested date or current date.

Timesheet Submission for Users

The Timesheet submission process has been updated for employees and substitutes to provide for more flexibility. Users now have the ability to select which days they would like to submit or revert. Previously, all available days were submitted or reverted.
