VeriTime Release Notes – August 10, 2013

Summary

During the weekend of August 10, 2013, we will release several enhancements to VeriTime. Please read this document carefully, as there are some new features that you might find very useful. We continue to look for your feedback so that we can make VeriTime better with each release that we deliver.

New VeriTime URL

The VeriTime product now has its own home on the internet. The new URL for VeriTime is veritime.aesoponline.com

Please make note of the new URL and change any bookmarks you have saved for accessing VeriTime.

Note: This change makes it necessary to re-launch all kiosks to direct them to the new URL. Any kiosk that has been left running from Friday, August 9th will not operate on Monday, August 12th until it is refreshed. This is a one-time requirement. Once each of your kiosks has been refreshed it will function normally from there.

VeriTime Direct Login

As part of the initiative the VeriTime team undertook to separate VeriTime onto its own URL, several changes and improvements have been made to the VeriTime login process.

VeriTime Direct Login Page

Starting with this release, all Users can log in to VeriTime directly without logging in to Aesop first. The VeriTime login page is a single page where both Admin users and Employees/Substitutes will go to log in. There is no separate Navigator page for VeriTime as there is for Aesop.

The User ID and PIN for both the Aesop and VeriTime Login pages are the same, you won’t have to keep track of another set of login credentials.

Links within VeriTime and Aesop to switch back and forth between the two programs remain functional. If you are logged in to VeriTime and cross over to Aesop you will not have to log in a second time, and vice versa.

Forgot Login ID or PIN

The VeriTime team added a convenient link in the bottom left corner of the VeriTime Login screen. When you click the link, VeriTime will ask you to enter your email address. When you click the “Send a Password Reminder” button, an email will be sent to the address entered that will list every Login ID and PIN associated with that email address in our database. There is also a link for “Helpful Hints” in the lower right hand corner of the login screen that prompts the user with a reminder of what a typical User ID might be and gives the characteristics of a typical PIN. System Enhancements

Change PIN

VeriTime now has a mechanism that a User can access to change his or her PIN whenever he or she chooses. From the VeriTime Home page, click on the User name in top right hand corner of the screen, and the Change Your PIN screen will appear. This screen prompts the user to enter his or her Current PIN, New PIN, and to Confirm New PIN. The User then must click on the “Change PIN” button to save the change. The current functionality that prompts the user to enter a new PIN when their PIN has expired will still function as it has. This just gives Users an option to change their PIN whenever they want to do so.

Login After Timeout Retains User’s Placement in VeriTime

VeriTime is set up to timeout a session after one hour of inactivity. Currently, when the session times out, the User must return to the Aesop Login screen, reenter login credentials, navigate to the VeriTime home screen, and then return to whichever function he or she was performing before the timeout occurred.

With this new release, upon timeout, a Screen will pop up over the current screen that prompts the User to enter his or her PIN. Once the User enters the PIN and clicks the “Sign In” button, VeriTime will return to the place where the User was within the system when the timeout occurred.

In the event that VeriTime is accessed by multiple Users on a public computer and the system times out one user but another wants to access VeriTime, there is a link at the bottom left of the pop up “Go to Full Login”. Clicking that link will take the User to the VeriTime logon screen where the User can enter their login ID and PIN to log on under their own user ID.

Reports Do Not Run Automatically

The VeriTime team has updated all the reports that are accessed through the Report page in VeriTime to wait for a prompt from the Administrator to run the report instead of automatically running as soon as the report widget is activated.

This will save some time for the Admins. They will no longer have to wait for the report to run before they make their selections, only to have to run it again to get the data they need. The reports will still remember the selections you made the last time you ran the report, but will give you the opportunity to make adjustments before running it again.

Note: This change does not apply to Timesheet Review. Additionally, any report you navigate to from a quick link on an individual will automatically run for that person – that functionality has not changed.
Magnetic Stripe Card Reader

With this new release, VeriTime is capable of supporting magnetic card readers on all of our barcode kiosks. All current barcode functionality is supported for magnetic stripe cards. Please give us a call if you would like more information on using a Magnetic Stripe Card Reader with VeriTime.

  • Interactive Kiosk (Barcode or Integrated)- The Organization can choose to create new cards for VeriTime access that carry the User ID, or adapt VeriTime to work with their existing magnetic stripe building access and employee ID cards. Existing magnetic stripe cards must carry either the Aesop ID or an External ID that can be synched with their Aesop Employee and Sub accounts.
  • Standard Barcode Kiosk – The Organization must create VeriTime specific magnetic stripe cards that carry the full Employee ID and Position information. These cards will allow one swipe clock-in and clock-out access similar to the way barcodes function with the Standard Barcode Kiosk.
