VeriTime will notify users by email for several types of events. By default these are turned off, so you can turn them on as your situation requires.
Emails to Administrators
To associate email notifications to administrators, first click on the Configure tab and then click the Administrators icon.
Now search for the name of the administrator you want to assign email notifications to, or click the pencil icon next to their name.
A window will pop up with a list of email notifications. Check the boxes next to the notifications you want to assign to the administrator.
Types of Emails
Overdue timesheet needs to be submitted - If an employee has not submitted an overdue timesheet, the administrator will be notified.
Timesheets have been submitted – Each night, the administrator can be notified that timesheets have been submitted that day for approval.
Timesheet has been re-submitted - If an employee makes a change to a timesheet and re-submits it, the administrator will be notified.
Timesheet requires approval -
- If a first-level Approver and a second-level Approver both approve timesheets on the same day, the email that is queued for the higher level approver will be removed and not sent. This will keep approvers from being emailed that a timesheet is waiting on their approval when they, in fact, did the approval the prior day.
- The weekly email will be changed to be sent without the 1 week delay. This is the situation where the week ends on the 7th and we send an email on the 15th to remind the Admin to approve timesheets for the week that ends on the 7th. From now on, this feature will be fully controlled by the “Timesheets Due After” date on the General Settings page.
- So, using the above example: If the “Timesheets Due After” date is currently set to zero, then emails will be sent out on the 8th for the week ending on the 7th.
If you want the emails sent further out, you can adjust the “Timesheets Due After” to the number of days of your choice and we will send the weekly emails on that day.
Timesheet has been rejected - If a timesheet is rejected, the administrator will be notified.
Timesheet contains overtime - If a timesheet is submitted with overtime, the administrator will be notified.
Emails to Employees
To assign email notifications to an employee, click on the Configure tab on your VeriTime home page. Then, click on User Templates.
Here, you can create new user templates or use existing ones. You will also be able to assign users to these templates on this page.

Types of emails:
Timesheets that need to be submitted – Each night, employees can be notified if their timesheets are past their due date and not submitted.
Timesheets that were approved – When employees’ timesheets are approved, they can be notified quickly about which days have been approved.
Timesheets that were rejected – When employees’ timesheets are rejected, they can be notified quickly about which days have been rejected.
Crossing into overtime on the previous day - When employees clock in more time than they were originally scheduled for, they will be notified that they have overtime.
