Pay Periods are groups of recurring time over which an employee is paid. You are able to associate them with certain employee groups. To create Pay Periods groups and edit them, first click on the Configure tab and then click Pay Periods.
On the “Pay Periods” page, will be able to create a Pay Period group by clicking the green Create button or edit an existing one by clicking the pencil icon.
When you create a Pay Period group or edit one, you will be taken through a two-step process where you will be able to select the effective dates, frequency of the Pay Period, and when timesheets and approvals are due. You will also select which job types will be associated to the Pay Period group.
Pay Period Details
Clicking on the name of a Pay Period group on the “Pay Periods” page will take you to a “Details” page where you will be able to view all the details of a particular Pay Period group. A list of the individual Pay Periods will be shown here, as well as a list of the job types associated.
Clicking on the Associated Users button will display a list of all users associated to this Pay Period group and show the details of how they are associated.
Some Things to Note About Pay Periods
In most cases you will not need to do anything in VeriTime to initially set up Pay Periods. Pay Periods will have already been backfilled for you based on your district’s current Time Period Recurrence setting. You may want to look at the way your Pay Periods have been set up to verify everything looks right though. If you have concerns or have a more complex setup than most, feel free to contact a Client Services representative with any questions.
- Pay Periods were retroactively created for districts based on their Go Live Date.
- June 2013 was used for districts that did not have a Go Live Date.
- Future Pay Periods were created for every district one year into the future.
Date Selection
The Timesheet Review, Work Summary, and Work Details pages will be updated to account for the addition of Pay Periods. The traditional date-range fields will be replaced with two drop-down selectors. The first drop-down will provide a list of active and inactive Pay Period groups. The second drop-down selector will provide Previous, Current, and Next Pay Period options. A custom date range option will also be available.
