Beginning in mid-July, Aesop will release a new addition to the functionality of absence management. This update affects both Minimum Balance and Maximum Yearly Usage.
The balance update allows Administrators to set a new minimum balance at the absence reason level. This minimum, which can be set to a negative value, will allow an employee to take more time than what they currently have. This is a great feature that can be used if an employee will eventually accrue that time, and will allow the employee to request this expected amount prior to the official accruement date.
You can set this minimum balance on the Absence Reasons page.
As an overview, access the Absence Reasons page and select the proper reason or bucket from the list. Then, click the checkbox beside Minimum Balance and enter a time limit for that specific reason or bucket.
This causes the absence reason minimum balance to allow an employee to go into the negative (assuming the minimum balance is entered as a negative) since they are expected to accrue more time than what they currently have.
On a related note, you can also apply a negative initial balance directly to the employee’s absence reasons page if they are expected to earn more time in the future. Simply edit the user’s information and enter the new negative initial balance.
Max Yearly Usage
The second update pertains to Maximum Yearly Usage and only applies to Aesop users who also have VeriTime. Administrators can select this Max Yearly Usage option within the Absence Reasons creation page. The functionality prohibits all employees from exceeding the value entered for this absence reason.
